Privacy policy
How we handle personal data, and why the software itself stays on your machine.
The essentials first: the KontorSuite programs process your documents on your own device; no content is transmitted to us. Individual programs may offer optional online features that you switch on yourself and that run through your own account with the service in question, they are off out of the box. This policy essentially concerns visiting this website and contacting us.
01Controller

02Local processing inside the software
The KontorSuite programs process your documents on your own device. Your documents, the personal data detected in them and the key files produced are not transmitted to us. Individual programs offer optional features that call a service on the internet; these are off out of the box, are switched on by you, and use an account you hold with the provider concerned. Any transmission then takes place between your device and that provider, whose privacy terms apply; we receive no data in the process. No telemetry or usage data is collected from the software. The optional AI assistant uses a local language model that is downloaded once (voluntarily, off by default); after that it runs on your machine and sends none of your content.
03Hosting and server log files
This website is hosted by netcup GmbH, Daimlerstraße 25, 76185 Karlsruhe, Germany; the servers are located in Germany. A data processing agreement under Art. 28 GDPR is in place with the provider. When the site is accessed, the server automatically records log files transmitted by your browser:
- ·IP address, plus date and time of access
- ·the page or file requested
- ·the user agent transmitted (browser and operating system)
This data serves to provide the website and to ensure technical security. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in secure, trouble-free operation).
04Cookies, tracking and fonts
This website sets no cookies beyond those that are technically necessary. No tracking takes place, and no analytics or other third-party services are embedded. The fonts used are served locally from our own server; no external font or script services (such as Google Fonts or a CDN) are embedded, so opening a page establishes no connection to any third party.
05Contacting us by email
This website offers no registration and no account. If you contact us by email, the details you transmit (such as your email address and the content of your message) are processed solely in order to deal with your enquiry. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in answering your enquiry).
06Retention period
Personal data is deleted once the purpose of processing ceases to apply and no statutory retention periods (such as commercial or tax law obligations) stand in the way.
07Your rights
You have the following rights vis-à-vis the controller:

- ·restriction of processing (Art. 18) and data portability (Art. 20)
- ·objection to processing (Art. 21)
- ·lodging a complaint with a supervisory authority (Art. 77)
An informal message to the email address given in the imprint is enough to exercise your rights. No automated decision-making, including profiling, takes place.
