Privacy policy
How we handle personal data and which connections the software makes.
The essentials first: the KontorSuite programs process your documents and data on your own device; no content is transmitted to us. Optional online features that run through your own account with a service are off out of the box and are switched on by you. One exception is the update check in the Honorarbuch: it is on out of the box, asks our server whether a new version is available and transmits only technical access data in doing so (section 04); you can switch it off. Apart from that, this policy concerns visiting this website, downloads from our server (such as the Pseudonymisierer's AI model) and contacting us.

02Local processing inside the software
The KontorSuite programs process your documents and data on your own device. Your documents, the personal data detected in them, the key files produced and the data you record in a program (such as clients, times and invoices) are not transmitted to us. Individual programs offer optional features that call a service on the internet, such as the distance lookup via OpenRouteService, which sends the start and destination addresses together with your key to openrouteservice.org. These features are off out of the box, are switched on by you, and use an account you hold with the provider concerned. Any transmission then takes place between your device and that provider, whose privacy terms apply; we receive no data in the process. One exception is the update check (section 04): it is on out of the box and queries our own server; only technical access data arises in the process. Beyond that, the programs collect no telemetry or usage data. The optional AI assistant in the Pseudonymisierer uses a local language model. It is downloaded once, voluntarily, from our server (off by default); this creates the log data listed in section 03. After that the model runs on your machine and sends none of your content.
03Hosting and server log files
This website is hosted by netcup GmbH, Daimlerstraße 25, 76185 Karlsruhe, Germany; the servers are located in Germany. The files that our programs fetch (such as update information) are provided from the same server. A data processing agreement under Art. 28 GDPR is in place with the provider. Whenever a page or file is requested, the server automatically stores the following details in log files:
- ·IP address, plus date and time of access
- ·the page or file requested, the status code of the response and the amount of data transferred
- ·the page visited before (referrer), if your browser transmits it
- ·the user agent transmitted (browser and operating system, or program name and version)
This data serves to provide the website and the files requested, and to ensure technical security. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in secure, trouble-free operation). Entries in the log files, including the server's error log, are deleted automatically after 15 days at most.
04Update check in the programs
Programs with a built-in update check ask our server whether a new version is available. This currently applies only to the Honorarbuch. The check is on out of the box. Each time, the program fetches a small file containing details of the latest version; the following data is processed:
- ·IP address, plus date and time of the request
- ·the file requested
- ·the user agent Honorarbuch/<version number>, i.e. the program name and installed version
Not transmitted: content or data from the program (such as clients, times or invoices), identifiers for your device or for you, and cookies; the request contains no further parameters.
When the check runs: when the program starts, provided the last successful check was at least 20 hours ago, and when you choose “Jetzt nach Updates suchen” (check for updates now) under Einstellungen › Updates (Settings › Updates). The program downloads the installation file only once you choose “Jetzt installieren” (install now); this request goes to the same server and contains the same details. On your computer, the program checks the signature of the update information as well as the size and checksum of the installation file.
Switching it on and off: the setup wizard asks for this setting at first start (“Beim Start nach Updates suchen (empfohlen)”, i.e. check for updates at start-up (recommended), ticked in advance); the program does not check before setup is complete. You can switch the check off there or at any time under Einstellungen › Updates. After that, the program only checks when you choose “Jetzt nach Updates suchen” yourself.
Purpose and legal basis: the check serves to offer you new versions, in particular security and bug fixes. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is to provide security and bug fixes promptly and from a verifiable source. You can object to this processing at any time by switching the check off; use of the program does not depend on it.
Recipient and retention: the details are stored in the log files of our server at the hosting provider netcup, which acts as our processor (section 03), and deleted automatically after 15 days at most.
05Cookies, tracking and fonts
This website sets no cookies beyond those that are technically necessary. No tracking takes place, and no analytics or other third-party services are embedded. The fonts used are served locally from our own server; no external font or script services (such as Google Fonts or a CDN) are embedded, so opening a page establishes no connection to any third party.
06Contacting us by email
This website offers no registration and no account. If you contact us by email, the details you transmit (such as your email address and the content of your message) are processed solely in order to deal with your enquiry. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in answering your enquiry).
07Retention period
Entries in the server log files (sections 03 and 04) are deleted automatically after 15 days at most. Otherwise, personal data is deleted once the purpose of processing ceases to apply and no statutory retention periods (such as commercial or tax law obligations) stand in the way.
08Your rights
You have the following rights vis-à-vis the controller:
- ·access (Art. 15), rectification (Art. 16) and erasure (Art. 17)
- ·restriction of processing (Art. 18) and data portability (Art. 20)
- ·objection to processing (Art. 21)
- ·lodging a complaint with a supervisory authority (Art. 77)
An informal message to the email address given in the imprint is enough to exercise your rights. No automated decision-making, including profiling, takes place.
